Overall Job Objective

Summary of Job Duties

The City of Aurora is seeking a Clerical Assistant to perform a variety of administrative support duties for the Training Division in the Human Resources Department.

This is a temporary, part time position for about 15 - 20 hours a week, as needed.
Applicants must be flexible and willing to participate in assisting with some weekend events.

Primary Duties and Responsibilities

  • Answers incoming calls and directs caller to appropriate party
  • Greets public and answers a variety of inquires
  • Directs visitor or caller to information sources
  • Processes incoming applications
  • Assists in the input and maintenance of information in data base programs
  • Responds to requests for verification of employment
  • Maintains a variety of filing and record keeping systems
  • Maintains division library, including inventory of materials and updating of manuals
  • Types and proofreads a variety of correspondence, reports, and documents
  • Maintains information on room reservations
  • Orders office supplies
  • Paying all invoices for department
  • Responds to inquiries received through e-mail
  • Operates a variety of office equipment
  • Performs additional duties as assigned

Minimum Qualifications

Education:  High School Diploma or GED.

Experience:  One year of clerical experience. Experience in a high volume, customer-service work environment, preferred.

Knowledge:  Knowledge of business English, math; and general knowledge of personal computers with related word processing and database software applications.

Abilities: Ability to establish and maintain effective working relationships with employees, citizens and managers; to handle sensitive situations with tact and diplomacy; ability to maintain confidentiality; operate personal computers and related word processing software; and to communicate effectively orally and in writing.
to interact knowledgeably with staff and the public in person and by phone.

Skills: Skill in the use of a personal computer and related word processing applications; excellent customer service skills.

Licenses, Certificates and/or Required:  This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment.

Working Conditions

Physical Demands:  Light to moderate physical work requiring the ability to lift a maximum of 25 pounds; frequent lifting, carrying, walking, and standing; frequent hand/eye coordination to operate computer and office equipment; vision to read and interpret reports, documents, and other written material; frequent speech communication and hearing to maintain communication with employees and citizens.

Work Environment:  Works primarily in clean, comfortable environment.

Equipment Used:  Frequently uses standard office equipment including personal computers, calculators, copy/fax machines; and multi-line telephones.
