The Chief's Office is looking for a professional, highly organized and customer focused Administrative Specialist to perform a variety of administrative support duties and functions. 

Please note:  The selection process for this recruitment will have multiple steps including but not limited to submission of application, submission of a writing sample, and one or more assessment tests, none of which guarantee an invitation to interview, but will assist in the selection of the most qualified candidate.

The Aurora Police Department
The Vision of the Aurora Police Department is to be the safest largest city in America.  In 2014 we moved one step closer to our vision by being named the Safest Largest City in Colorado and the 16th overall safest city in the nation.  Within the Aurora Police Department there are four separate divisions:  Operations; Metro; Compliance and Professional Standards; and Business Services and employees over 800 Civil Service and Career Service employees whose mission is to Make Aurora Safer Every Day.  

Despite the changes in Colorado law, the City of Aurora maintains a drug free workplace.  A positive test of marijuana is grounds for disqualification and ineligibility for employment with the city for one year or termination once hired.

PRIMARY DUTIES & RESPONSIBILITIES

  • Prepares, issues, and monitors departmental documents requiring technical knowledge of departmental functions
  • Coordinates travel arrangements for various Department personnel
  • Maintains, tracks and reconciles monthly purchasing card transactions
  • Takes, prepares and distributes minutes of meetings
  • Schedules and maintains calendars of activities and meetings
  • Schedules conference rooms
  • Takes and transcribes dictation
  • Develops and maintains complex-record keeping and reporting systems
  • Assists in researching, gathering, compiling and preparing a variety of materials for technical and analytical reports
  • Receives and responds to requests for information including Council and Management requests
  • Maintains, modifies, and updates database information for specialized departmental functions
  • Assists in preparations for Police awards ceremonies
  • Drafts, edits, proofreads and prepares correspondence
  • Creates reports, graphs, and presentations, some of which may be confidential
  • Provides additional complex administrative support
  • Other duties as needed or assigned

MINIMUM QUALIFICATIONS

Education:

  • High School diploma or GED. 
Experience:
  • At least 4 years related clerical and administrative support experience
  • At least 1 year in a law enforcement environment
An equivalent combination of education, training and experience that demonstrates required knowledge, skills and abilities may be considered. 

Knowledge:
  •  Knowledge of business English and math
  • Composition, grammar, spelling and administrative support functions related to assigned department
  • Demonstrates proficiency in personal computer applications, including word processing, spreadsheets, report generation, and maintenance of databases
Abilities:
  • Ability to establish and maintain effective working relationships with employees and citizens
  • Ability to communicates effectively both verbally and in writing
  • Ability to draft, edit, proofread and prepare correspondence
  • Ability to work well independently
  • Ability to maintain confidentiality of work
  • Ability to understands interpret and apply department or division policies and procedures
  • Ability to make public presentations
  • Ability to organize a variety of activities
  • Ability to plan, organize and prioritize work assignments
Skills:
  • Skill in the use of a personal computer and related software
  • Must have a working knowledge of MS Word, Excel, Power Point and Outlook, dictation equipment, and other general office equipment
  • Accurately and efficiently processes information using a keyboard

Licenses, Certificates or Equipment Required: Colorado driver's license with a good driving history and provide copy of Motor Vehicle Report.  Candidate will be required to apply for and receive their Notary Public Certification within 6 months of hire date. This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment.

WORKING CONDITIONS

Physical Demands:

  • Sedentary physical work occasionally requiring ability to lift 10 pounds with our without assistance
  • Some lifting and carrying of materials weighing 10 pounds
  • Some walking and standing; frequent hand/eye coordination to operate computer terminal and office equipment
  • Vision for reading, recording, and interpreting information
  • Speech communication, hearing and listening to maintain communication with employees and citizens

Work Environment:
  • Works primarily in clean, comfortable environment. 
Equipment Used:
  • Computer and standard office equipment.
