The Records section of the Aurora Police Department is looking for a Records Administrative Specialist to provide support to the Records Section, Court Liaison Unit and acts as a backup to the Equipment and Facilities Administrative Assistant. This position works primarily with police personnel with diplomacy and strong customer service.  This is a Full Time position working a minimum of 40 hours/week and includes full benefits after successful completion of the 6 month Introductory Period.

The Aurora Police Department
The Vision of the Aurora Police Department is to be the safest largest city in America.  In 2014 we moved one step closer to our vision by being named the Safest Largest City in Colorado and the 16th overall safest city in the nation.  Within the Aurora Police Department there are four separate divisions:  Operations; Metro; Compliance and Professional Standards; and Business Services and employs over 800 Civil Service and Career Service employees whose mission is to Make Aurora Safer Every Day.

PRIMARY DUTIES & RESPONSIBILITIES

  • Maintain all inventory and supplies for supported units and section
  • Cash accounting and reconciliation of funds taken in through applicable information request processes, make deposits for the unit, track and report overages and shortages, problem solve as necessary, perform surprise cash counts with Records Unit Supervisors, maintain and update cash handling procedures per city policy
  • Monitor and managing the budget for the Records Unit including, performing daily accounts payable and receivables. Managing computerized manual cash batch and data entry journals
  • Track all summons assigned to department personnel
  • Assist in tracking of missing case reports and uncategorized body worn camera videos
  • Manage multiple spreadsheets and reports
  • Mail sorting and distribution
  • Pull weekly statistical data for presentation to Command Staff
  • Create onboarding packets for new hires, issue lockers and process personnel orders
  • Manage badge access to the unit
  • Coordinate meetings and events, schedule rooms, record meeting notes, and maintain the calendar for the Records Section and Manager of Records and Support Services
  • System administrator for the department's point of sale and eDiscovery systems
  • Assist in upkeep and maintenance of the Supers and Records Team SharePoint site
  • Create and maintain master copies of department forms
  • Various projects or other duties as assigned

MINIMUM QUALIFICATIONS

Education:

  • High School diploma or GED. 
Experience:
  • At least 2 years general clerical experience including data entry and customer service experience
Preferred:
  • At least 2 years' experience working in a judicial or law enforcement environment
An equivalent combination of education, training and experience that demonstrates required knowledge, skills and abilities may be considered. 

Knowledge:
  •  Knowledge of office practices and procedures
  • Business English
  • Manual and computer filing systems
  • Complex record keeping systems
Abilities:
  • Ability to establish and maintain effective working relationships with department staff, citizens and those visiting Aurora
  • Handle stressful situations with tact and diplomacy
  • Communicate effectively both orally and in writing
  • Ability to give and receive constructive feedback
Skills:
  • Skill in passing a typing test at a minimum of 40 net words per minute
  • Skill in the use of a personal computer and related software
  • Must have a working knowledge of MS Word, Excel, Power Point and Outlook, dictation equipment, and other general office equipment
  • Accurately and efficiently processes information using a keyboard

Licenses, Certificates or Equipment Required: 
  • CCIC / NCIC Certification preferred
  • CCRN Master Certification preferred

WORKING CONDITIONS

Physical Demands:

  • Light to sedentary physical work requiring the ability to lift 40 pounds with or without assistance
  • Frequent lifting, carrying, sitting, walking and standing
  • Hand/eye coordination to operate computer keyboard
  • Vision to read and interpret reports, documents and other written or digital information
  • Frequent speech communication and hearing to maintain communication with employees and citizens

Work Environment:
  • Works primarily in clean, comfortable environment with some shared equipment
  • Day shift.  Five eight-hour shifts, or flex nine hour shifts with two days off and a third day off every other week
Equipment Used:
  • Frequently uses computer, keyboard and telephone, and copiers
  • This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment
